Building Entry Checklist for DMV Property Managers
A dependable building entrance starts with the whole opening: the door, frame, hinges, closer, locking hardware and access system. When a resident reports that a fob is not working, the cause may involve more than the reader. A door that drags or fails to latch needs attention even when the electronics respond correctly.

Check how the door closes
During an ordinary walkthrough, note doors that scrape the frame, slam, remain partly open or need to be pulled shut. Record which entrance is affected and when the issue occurs. A technician can then evaluate alignment, hinge condition, frame damage and closer performance before recommending adjustments, replacement hardware or a new door.
Avoid treating repeated hardware failure as an isolated part replacement. If the opening is out of alignment, the underlying problem should be included in the repair scope.
Review locks and electronic access together
List the entrances controlled by keys, fobs, keypads or an intercom. Include staff entrances, service doors, storage areas and other shared spaces. Ask whether the proposed lock and reader are suitable for the existing door and how access will be managed for each group of users.
Changes to locking hardware must account for the opening's intended use and applicable exit and accessibility requirements. Select the final hardware after a site assessment; a product name alone does not establish that an installation is suitable.
Make resident and staff access easier to manage
Keep an accurate record of who administers the system, how credentials are issued, and how access is removed after a move-out or staffing change. Confirm who handles routine programming and who residents should contact when their account or fob needs attention.
For an upgrade, plan the resident database, fob distribution and installation notices before the changeover. Provide management with the training and documentation needed for the responsibilities it will take on.
Check intercoms and cameras as separate systems
Test the visitor call and release process with authorized users. Confirm the network or telephone service required by the selected intercom. For cameras, review the actual view and recording configuration at the entrances you need to cover. A visible camera or live image alone does not establish what footage is being saved.
Request a scope the board can evaluate
A useful proposal identifies the problem, recommended work, equipment, installation responsibilities and optional upgrades. Ask for recurring software or service charges to be stated separately from installation costs. Where alternatives are appropriate, compare complete scopes rather than just headline prices.
