Resident Onboarding for a Smart Intercom Upgrade

Installing a smart intercom is one part of the changeover. Residents also need to know which invitation to expect, how to collect their credentials and where to get help. Management needs the correct administrative access and a clear process for routine updates.

Confirm the resident information before invitations

Assign one management contact to review the resident list. Check unit numbers and the contact information required for the chosen system. Resolve duplicate or outdated entries before importing the data, and confirm which people should receive each type of account.

Use the installer’s requested format and agreed private transfer method. The resident list is an administrative record; it should not be included in a public announcement or marketing post. Keep a process for corrections as residents move in and out.

Explain the difference between resident and management access

A resident app account and a property management account can serve different purposes. Tell each user which account they are receiving and the tasks it supports. Management should know who can update resident information, issue credentials and request service.

At handover, ask for a demonstration of the routine tasks management will perform. Confirm the correct property is selected when one manager oversees several buildings. Define which requests management handles directly and which go to the installer or system provider.

Coordinate invitations and fob distribution

Let residents know the expected invitation sender, the app selected for the project and the planned activation date. Provide official app links and a support contact through management’s established communication channel. Explain how to report an invitation that was not received or contains incorrect information.

If fobs are part of the project, record their assignments and distribute them to the intended recipients. Reconcile uncollected or replacement credentials with management’s records. Confirm the agreed entry options and changeover arrangements for residents who will not use a smartphone.

Explain subscriptions before automated notices create confusion

A cloud activation message can prompt questions about trials, renewals or payments. Before launch, management should know which services are included in the building’s agreement, who manages renewal and whether residents are expected to pay separately for any optional features.

Check the actual contract and account configuration before responding. Avoid assuming that every building has the same subscription arrangement or that a generic activation notice describes the property’s agreement. Give residents a confirmed explanation and one clear contact for questions.

Finish with a documented handover

Confirm that the required connection is ready and arrange an authorized test of the visitor call and door-release process. Record unresolved issues, the responsible contact and the follow-up needed. Include the process for adding a resident, correcting contact details, replacing a lost credential and removing access when it is no longer authorized.
